WHAT WE COLLECT & METHOD OF COLLECTION
We collect PII and anonymous information from you in the course of your use of the Services, including your subscription or registration for any of our digital or in-person offerings such as newsletters or promotions, your participation in a survey, registration (either free or paid) for an event, or communication with us regarding the Services.
The categories of PII that we collect include identifiers; personal information under California disposal law; characteristics of protected classes; commercial information; internet or other electronic network activity, geolocation data; audio, electronic, visual, thermal, olfactory, or similar data; professional or employment information.
We may collect and process PII as follows:
• Information You Give Us. We collect your email address, name, postal address, phone number, demographic information (such as your gender and occupation) as well as other information you directly give us through our Services.
• Information We Get From Others. We may receive information about you from other sources that are not affiliated with the Company and add that to the information you have provided to us. This information might be public information or data you provided to others with authorizations to share it with third parties.
• Information Automatically Collected. We automatically log information about you and your computer. For example, when visiting our Services, we log your computer operating system type, browser type, browser language, IP address, and navigation history, pages you viewed, how long you spent on a page, access times and information about your use of and actions on our Services.
• Cookies. Like most website operators, we use “cookies” (small data files stored on your hard drive by a website). We may use both session cookies (which expire once you close your web browser) and persistent cookies (which stay on your computer until you delete them) to provide you with a more personal and interactive experience with our Services. This type of information is collected to help us provide you with a better, more relevant online experience.
USE OF YOUR PII
We may use your PII as follows:
• For Your Benefit. We use your PII to provide you with Services and information that you have requested from us or that we think may be of interest to you; to respond to comments and questions and provide customer service; and to communicate with you about promotions, upcoming events, and other news about products and services offered by us and our selected partners. Additionally, we will include your PII when creating a profile for you. We keep your profile up to date by adding information about your registrations or subscriptions, the events you attend, the content you access, how you interact with our offerings, and the like.
• To Improve Our Business. We will use your PII in order to ask for your input to help in our research about our Services. We may also send your PII in confirmations, invoices, technical notices, updates, security alerts, and support and administrative messages. We may link or combine your PII with the PII of others in connection with our business.
SHARING OF YOUR PII
We may share your PII as follows:
• With Your Consent. We may share your PII with your consent, which you may give or withdraw. For example, you may let us share PII with others for their own marketing uses, subject their privacy policies.
• With Sponsors. We may share your PII with sponsors where you have indicated an interest in their products, services or events. When you register for an in-person or digital event provided by a sponsor, including sponsors of special sessions within a larger event, we may share the PII in your registration information to the sponsor(s) of such event. If you register for or access Services offered by these vendors, you choose to share your name and contact details directly with those vendors so that they may contact you. We may provide a link to the sponsor’s privacy policy (as well as to this policy) on the registration page.
• In Connection With Our Business. We may share your PII for a business purpose. For example, we may disclose your PII to those who need it to do work for us. Or, we may share your PII when we do a business deal, or negotiate a business deal, involving the sale or transfer of all or a part of our business or assets. These deals can include any merger, financing, acquisition, or bankruptcy transaction or proceeding. Finally, we may share your PII with third parties that provide data analytics and marketing services. This includes sharing your PII to comply with laws; to respond to lawful requests and legal processes; to protect the rights and property of the Company, our agents, customers, and others (including to enforce our agreements, policies, and terms of use); or in an emergency (including to protect the safety of our employees and agents, our customers, or any person).
Some instances of our sharing your PII may be considered a “sale” for purposes of the California Consumer Privacy Act (California Civil Code sections 1798.100 et. al.) (“CCPA”). The categories of PII that we have sold (as that term is defined in the CCPA) in the preceding 12 months include identifiers; personal information under California disposal law; characteristics of protected classes; commercial information; internet or other electronic network activity, geolocation data; audio, electronic, visual, thermal, olfactory, or similar data; professional or employment information.
We may also share aggregated and/or anonymized data with others for their own uses.
RETENTION OF PII
We retain your PII to facilitate the use and sharing described above. We will retain your PII as long as you continue to use our Services and where we have ongoing legitimate business needs to do so, and for as long as necessary to comply with our legal obligations, resolve disputes or prevent abuse.
We will retain such data for no longer than a reasonable period of time after we believe you will no longer receive Services. When we no longer have an ongoing business need to access your PII we will securely delete or anonymize it.
YOUR RIGHTS
Cookies. You can typically remove and reject cookies from our Services with your browser settings. Many browsers are set to accept cookies until you change your settings. If you remove or reject our cookies, it could affect how our website works for you.
Marketing Communications. You may opt-out of our email marketing lists by following the directions at the bottom of our emails. If you opt out, we may still send you non-marketing emails which include emails about your registration for an event. You may receive email marketing messages from us about other companies’ offerings as part of a business partner marketing program. To opt-out of a business partner marketing email program, you may follow the instructions at the bottom of any email we send you as part of the program.
Rights Regarding PII. You have the following rights with respect to your PII:
• Right to Be Informed. You have the right be informed about our use of your PII. You may request the categories of PII we have collected, the source of such PII, our use of such PII, and if such PII was sold to third parties, the categories of PII disclosed or sold to third parties and the categories of third parties to whom such PII was disclosed or sold.
• Right to Access. You may request a copy of the PII we collected about you during the 12 months prior to your request.
• Right to Deletion. You may request that remove or delete your PII. We may decline to delete your PII if retention is required to provide you with Services, detect or resolve security issues, comply with the law, or carry out actions for our internal purposes that you and other consumers would ordinarily anticipate.
If you wish to exercise any of these rights, please contact us at concierge@theracquetx.com. You may make such a request no more than twice in any 12-month period. We will respond to your request within 45 days, and may need to collect information from you to verify your identity. If you exercise your rights in this paragraph, we will not discriminate against you by denying you Services, charging you a different rate for those Services, providing you with a different quality of Services, or suggesting that you may receive a different rate or quality. We may offer financial incentives that are permitted by law.
THIRD PARTY PRIVACY POLICIES
Third-party websites that may be linked on this website are subject to that third party’s privacy policy, not this one. We recommend that you review all relevant privacy policies.
POLICIES REGARDING EVENT TICKETS
Our Cancellation/Refund policy as well as our Substitution/Transfer Policy apply to purchases of event tickets and are clearly listed during the ticket purchase process (hosted on a third-party site for processing of your credit card information). We list it here as well.
Cancellation/Refund Policy – Requests for full cancellation must be received by RacquetX Expo in writing PRIOR TO the cancellation “Cutoff Date.” The cutoff date is 45 days prior to the start of the event. Cancellation requests will be subject to a $75 processing fee per ticket. Send refund requests to concierge@theracquetx.com. Refunds will not be granted after the Cutoff Date, but the registration may be transferred to a future event. Refunds/Credits will NOT be given to no-shows. All cancellation refunds will be processed within 4 weeks of the completion of the event.
Substitution/Transfer Policy – Registrations may be transferred from one party to another party prior to the week before the event date. Within 72 hours of the event date attendee substitutions cannot be guaranteed. All substitution requests will be processed within 2 business days. Substitutions between ticket types are not allowed, e.g., transferring a speaker pass to another person.
Registrations may also be transferred to the next calendar year’s show, e.g., if a ticket was purchased to RacquetX Expo 2025, the ticket may be transferred to RacquetX Expo 2026 at no charge. Transfers to the subsequent show year can happen up until the start of the show for which the ticket was purchased.
Registrations can be transferred forward a maximum of two times, e.g., a registration for RacquetX Expo 2024 can be transferred to RacquetX Expo 2025 and then again to RacquetX Expo 2026. Transferred tickets must be used, either by the primary ticket holder or transferred to another ticket holder for use by the second show year; otherwise, the ticket will be deemed void.
All transfer requests should be sent to concierge@theracquetx.com.
Refunds on Transferred Tickets – Refunds are only available on tickets purchased for that particular event and for requests made prior to the cutoff date. If a ticket is transferred to the subsequent show year, refunds are not provided. Transferred tickets can, however, be transferred to another individual or forward an additional year for a maximum of two show cycles.

CHANGES TO THIS PRIVACY POLICY
We may change this privacy policy. If we make any changes, we will change the Last Updated date above and post the new privacy policy on our website. Your continued use of our website or the Services constitutes acceptance of the privacy policy as modified except to the extent applicable law requires additional consent.
DISCLAIMER OF LIABILITY
The person identified as Participant below (the “Participant”), hereby acknowledges that Participant is voluntarily using the racquet sports court facilities provided by Racket X Expo LLC (“Operator”) at the [•] convention center (the “Facility”). Participant understands that participation in racquet sports, as well as the use of the Facility, involves certain inherent risks, including but not limited to the risk of injury or damage to property. These risks may result from my actions, the actions of other participants, equipment failure, or other factors.
In consideration for being allowed to use the Facility, Participant hereby agrees to release, discharge, and hold harmless the Operator, its owners, operators, employees, agents, and representatives (the “Released Parties”) from any and all claims, liabilities, demands, actions, causes of action, costs, and expenses that may arise as a result of Participant’s use of the Facility, including, but not limited to, personal injury, property damage, or any other harm, whether foreseen or unforeseen, that may occur.
Participant understands and agrees that this release of liability applies to all forms of injury, including but not limited to bodily injury, emotional distress, illness, or death, as well as damage to or loss of property. This release is intended to be binding on Participant’s heirs, executors, administrators, and assigns.
Participant has read this Disclaimer of Liability and fully understand its terms. Participant acknowledges that Participant is giving up substantial rights by agreeing and checking the box below, the Participant voluntarily agrees it freely and without any inducement or assurance of any nature. Participant acknowledges that that he/she is at least 18 years of age or, if Participant are under 18 years of age, that Participant’s parent or legal guardian has agreed and checked this Disclaimer of Liability on Participant´s behalf.

2025 EVENT CODE OF CONDUCT
1. Purpose
We believe our community should be truly open for everyone. As such, we are committed to providing a friendly, safe and welcoming environment for all, regardless of gender, sexual orientation, disability, ethnicity, or religion. This code of conduct outlines our expectations for participant behavior, as well as the consequences for unacceptable behavior. We invite all sponsors, speakers, attendees, media and other participants to help us realize a safe and positive conference experience for everyone. All determinations of appropriate or inappropriate behavior are in RacquetX’s sole discretion and the decision(s) of the RacquetX representatives on-site will be final.
2. Expected behavior includes, but is not limited to:
– Be considerate, respectful and collaborative.
– Refrain from demeaning, discriminatory or harassing behavior, materials and speech.
– Be mindful of your surroundings and of your fellow participants. Alert conference organizers if you notice a dangerous situation or someone in distress.
3. Unacceptable behavior & materials include, but are not limited to:
– Unacceptable behaviors & materials include: intimidating, harassing, abusive, discriminatory, derogatory, or demeaning materials or conduct by any attendees of the event and related event activities. Many event venues are shared with members of the public; please be respectful to all patrons of these locations.
– Harassment includes: offensive comments (verbal, written, or otherwise) related to gender, sexual orientation, race, religion, disability; inappropriate use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or following; harassing materials, photography or recording; sustained disruption of talks or other events (whether verbal or otherwise); inappropriate physical contact, and unwelcome sexual attention.
– Wearing clothing that is not suitable for a professional work environment, that is provocative, or otherwise potentially offensive.
– Physical, written, verbal or other abuse, intimidation, threats, annoyance, harassment, stalking, pushing, shoving or use of any physical force whatsoever against any person, which in any way creates a disturbance that is disruptive or dangerous, or creates apprehension in a person, as determined by RacquetX and its show management, in their sole discretion.
– Possession of any item that can be used as a weapon, which may cause danger to others if used in a certain manner. www.theracquetx.com
– Any boisterous, lewd or offensive behavior or language, including but not limited to using sexually explicit or offensive language, materials or conduct, or any language, behavior or content that contains profanity, obscene gestures, or racial, religious or ethnic slurs.
– Possessing any open can, bottle or other receptacle containing any alcoholic beverages, except in areas specifically designated for the consumption of alcohol. Please drink responsibly.
– Possessing any illegal substance, including but not limited to narcotics, marijuana, or other illegal drugs. RacquetX does not tolerate the use or abuse of illegal substances anywhere in the Venue.
– Smoking – other than in designated areas.
– Assembling for the purpose of, or resulting in, disturbing the peace, or committing any unlawful act or engaging in any offensive behavior.
– Failure to obey any rules or regulations of the Venue.
4. Consequences of unacceptable behavior
Unacceptable behavior will not be tolerated whether by other attendees, media, speakers, volunteers, organizers, venue staff or sponsors. Anyone asked to stop unacceptable behavior is expected to comply immediately. If a participant engages in unacceptable behavior, the conference organizers may take any action they deem appropriate, up to and including expulsion from the conference without warning or refund.
5. What to do if you witness or are subjected to unacceptable behavior
If you are subjected to unacceptable behavior, notice that someone else is being subjected to unacceptable behavior, or have any other concerns, please notify a conference organizer as soon as possible. All reports will remain completely confidential. Event Staff will be available to help participants contact venue security or local law enforcement, to provide escorts, or to otherwise assist those experiencing unacceptable behavior to feel safe for the duration of the conference. You can report unacceptable behavior to any member of staff. Staff can be found in the Show Office onsite or you may email the contact below.
6. Scope
We expect all conference participants (staff, sponsors, volunteers, speakers, attendees, and other guests) to abide by this code of conduct at all conference venues and conference-related social events.
